Background:

Teachers of Tomorrow (ToT) is dedicated to equipping future educators with the tools they need for effective teaching. In an era where immediate communication can significantly enhance engagement, ToT recognized the need for a more responsive interaction approach with their student base and stakeholders. The existing frameworks within HubSpot provided comprehensive functionality for customer relationship management, yet lacked a native SMS solution that allowed for real-time, personalized communication within their marketing workflows. This necessity prompted ToT to explore a seamless integration of SMS capabilities into their existing HubSpot environment, particularly through automation. The integration aimed to streamline marketing processes, enabling staff to quickly reach out to prospects, engage learners in real-time, and deliver pertinent information promptly.

Challenge:

ToT faced significant hurdles in their outreach efforts due to the limitations of their existing systems. The current process for sending SMS messages was cumbersome and often required technical assistance, leading to delays and missed engagement opportunities. In pursuit of enhancing communication effectiveness, ToT needed a solution that allowed Marketing users to initiate SMS campaigns without relying on IT intervention. Additionally, there were compliance challenges, including the necessity for opt-in/opt-out functionalities and reliable message delivery tracking. These requirements necessitated the creation of a streamlined workflow that would support dynamic message templating for personalization while also ensuring compliance with regulations such as TCPA/CTIA. ToT sought to integrate an easy-to-use feature that could handle delivery status callbacks and maintain logs for auditing purposes, thus enhancing both accountability and transparency in their communication processes.

Objectives:

Teachers of Tomorrow (ToT) required a robust solution to facilitate SMS communication within their HubSpot workflows. They envisioned the creation of a custom HubSpot Private App that would enable Marketing users to trigger SMS messages via Five9’s SMS service, ensuring delivery status tracking and compliance. Key features included a simple action to ‘Send SMS via Five9’, dynamic message templating, SMS event logging, and adherence to compliance regulations. The goal was to empower Marketing Admins with a no-code solution that improved engagement and allowed for timely follow-ups without developer assistance.

Solution:

To meet ToT’s requirements, we designed and implemented a HubSpot Private App that integrates seamlessly with Five9’s SMS services. The solution includes a straightforward user interface through which Marketing users can access a custom Workflow Action labeled ‘Send SMS via Five9’. This allows them to utilize dynamic message templating using HubSpot tokens like {{ contact.firstname }} and {{ deal.amount }} to create personalized messages. We developed an AWS serverless middleware that facilitates the data flow: when an SMS is triggered from HubSpot, the middleware receives the action payload, interacts with the Five9 SMS API to send the message, and handles delivery status callbacks. This information is logged back into HubSpot, updating relevant contact properties and creating timeline events to offer comprehensive insights into communication efforts. Compliance measures such as opt-out handling and subscription synchronization were baked into the system to ensure adherence to regulatory standards. Furthermore, we provided extensive documentation along with an Admin Guide and Runbook to empower ToT’s Marketing and IT teams. Our focus on security included OAuth token scoping and HTTPS protocols to safeguard data processing.

Results:

As a result of this integration, Teachers of Tomorrow has significantly enhanced their communication capabilities. The newly implemented HubSpot Private App allows Marketing users to successfully send SMS messages directly from workflows, achieving a seamless end-to-end process that empowers them without the need for developer support. Testing results showed that Marketing users can now add the ‘Send SMS via Five9’ action to workflows and dispatch test SMS messages within seconds. Each sent SMS is logged comprehensively in HubSpot, displaying message body, timestamp, Five9 message ID, and status while automatically updating contact preferences based on opt-out requests. Operational metrics indicated a throughput of approximately 20 SMS messages per second, with less than 1% unhandled failures witnessed during tests with a sample of 1,000 messages. The customizable opt-out functionality effectively prevents the sending of further messages to unsubscribed contacts, enhancing compliance. Feedback from users has been overwhelmingly positive, highlighting improved engagement and responsiveness in workflows, reflecting a substantial increase in marketing efficacy.
